Optional Information:

  • Job description or notes

  • Superannuation % (entered as overhead line item, not applied to hourly rate)
  • Workers Comp % (entered as overhead line item, not applied to hourly rate)
  • Travel time charged at your base rate
  • Travel distance at ATO rate (default $1.00/km)

Note on Leave Entitlements:

As a sole trader, leave entitlements and leave loading are not calculated in Pro Solo. These features are available in Pro Teams for employee management. Your hourly rate should reflect your desired income including any personal leave considerations.

Profitability Calculations

Revenue:

Per Visit Revenue = Price ÷ 1.1 (GST-exclusive)
Annual Revenue = Per Visit × Occurrences per Year

Direct Cost:

Your Labour = Hours × Your Effective Rate
Travel Labour = Travel Minutes ÷ 60 × Your Effective Rate
Travel Distance = KM × $1.00
Total Direct Cost = Your Labour + Travel Labour + Travel Distance

Gross Profit:

Gross Profit = Revenue - Direct Cost
Gross Margin % = (Gross Profit ÷ Revenue) × 100

Overhead Allocation:

Your Overhead Share = (Job Annual Hours ÷ Total Annual Hours) × Total Overhead

Net Profit:

Net Profit = Gross Profit - Overhead Share
Net Margin % = (Net Profit ÷ Revenue) × 100

Effective Hourly Rate (EHR):

EHR = Revenue ÷ Total Hours (including travel)

This tells you what you're actually earning per hour after accounting for all costs.

Overhead Tracking

Overview

Track all your business expenses to understand true profitability.

What Goes in Overheads?

For Pro Solo users, this includes:

  • Superannuation - Add as overhead line item (e.g., 12% of annual income)
  • Workers Compensation - Add as overhead line item (industry-specific %)
  • Rent and utilities
  • Insurance (public liability, professional indemnity)
  • Software subscriptions
  • Vehicle expenses (registration, insurance, servicing)
  • Professional fees (accounting, legal)
  • Marketing and advertising costs
  • Equipment depreciation
  • Phone and internet
  • Office supplies
  • Bank fees and merchant fees

Why Track Superannuation & Workers Comp in Overheads?

  • As a sole trader, you're not an "employee" of your business
  • These are business running costs, not direct labour costs
  • Keeps the interface simple and focused
  • Still accurately calculated in profitability
  • Upgrade to Pro Teams seamlessly converts these to employee on-costs
  • No need for complex leave entitlements as a sole trader

How to Calculate Your Superannuation Overhead:

Annual Income Target: $80,000
Superannuation Rate: 12%
Annual Super Contribution: $80,000 × 12% = $9,600

Add as overhead:
Name: "Owner Superannuation"
Amount: $9,600
Period: Annual

Overhead Items

Required Information:

  • Name/description (required)
  • Amount in dollars (required)
  • Billing period (required)

Billing Periods:

  • Weekly - Charged every week
  • Fortnightly - Every 2 weeks
  • Monthly - Once per month
  • Quarterly - Every 3 months
  • Annually - Once per year
  • One-off - Single expense

Optional Information:

  • Category (for organization)
  • Vendor/supplier
  • Notes
  • Due date reminder

GST Handling

Automatic Normalization:

Most business expenses include GST. The system:

  • Accepts GST-inclusive amounts
  • Calculates GST component (÷ 11)
  • Uses GST-exclusive for allocation
  • Ensures accurate profitability

Example: Insurance = $1,100 inc GST
GST Amount = $1,100 ÷ 11 = $100
GST-Exclusive = $1,000

Annualization

All Overheads Converted to Annual:

  • Weekly: × 52
  • Fortnightly: × 26
  • Monthly: × 12
  • Quarterly: × 4
  • Annually: × 1
  • One-off: × 1

Why Annual?

  • Consistent allocation across jobs
  • Fair distribution
  • Easy comparison
  • Accurate profitability

Example:

  • Rent: $2,000/month → $24,000/year
  • Super: 12% of income → calculated annually
  • Insurance: $1,200/year → $1,200/year
  • Software: $50/week → $2,600/year
  • Total Annual Overhead: $30,800/year (example)

Overhead Allocation

How It Works:

  1. Sum all annual overheads
  2. Calculate your total productive hours
  3. Overhead per hour = Total ÷ Hours
  4. Each job gets its share based on hours

Example:
Total Overhead: $30,800/year
Productive Hours: 1,760 hours/year (38hrs × 52 weeks - holidays)
Overhead Rate: $30,800 ÷ 1,760 = $17.50/hour

Job using 100 hours/year:
Job Overhead = 100 × $17.50 = $1,750

Why This Matters:

  • Shows true cost of each job
  • Includes ALL your business costs
  • Reveals which jobs cover their share
  • Guides pricing decisions

Overhead List Features

Display:

  • Sortable table
  • Name, amount, period shown
  • Annualized value calculated
  • Edit/delete actions
  • Category grouping (optional)

  • Low Value: > $0/hr
  • Loss Making: ≤ $0/hr

Effective Hourly Rate (EHR)

Why EHR Matters for Sole Traders

The Core Question:

"What am I really earning per hour?"

EHR tells you:

  • Your actual earnings rate
  • After accounting for ALL costs
  • Including your overhead share
  • True value of your time

How EHR is Calculated

Per Job:

EHR = (Total Annual Revenue ÷ Total Annual Hours)

Includes:

  • Job hours
  • Travel time
  • All revenue
  • Accounts for frequency

Dashboard Average:

Average EHR across all your jobs, weighted by hours

Using EHR Effectively

Benchmark Against:

  • Your base hourly rate
  • Industry standards
  • Your target income
  • Alternative employment

Decision Making:

  • High EHR jobs → Prioritize and grow these
  • Low EHR jobs → Consider price increase or drop
  • Target EHR → Set your minimum acceptable rate
  • Portfolio average → Track trend over time

Example:

Your Base Rate: $40/hour
Your Overhead: $20/hour
Your Target EHR: $60/hour minimum

Job A: EHR = $75/hour ✓ Keep and grow
Job B: EHR = $50/hour ✗ Increase price or drop
Job C: EHR = $65/hour ✓ Good performer

EHR vs Profit Margin

Use Both:

  • EHR → Shows time value ($/hour)
  • Profit Margin → Shows efficiency (%)

For Sole Traders:

EHR is often MORE important because:

  • Your time is your primary resource
  • Opportunity cost matters
  • Can't scale labor (it's just you)
  • Time is finite

Example:

Job A: 30% margin, $80/hour EHR → Excellent
Job B: 40% margin, $45/hour EHR → Not great (margin misleading)

Job B has better margin but worse EHR - you earn less per hour, so it's actually inferior even though the percentage looks better.

Australian Business Compliance

GST (Goods & Services Tax)

Rate: 10% (1/11th of GST-inclusive)

How It Works:

  • Your prices include GST
  • System calculates GST component
  • Uses GST-exclusive for profitability
  • Accurate calculations

Example:

You charge: $110 (GST-inc)
GST component: $110 ÷ 11 = $10
Revenue (GST-ex): $100

Why GST-Exclusive?

  • Your overhead is GST-exclusive
  • True profitability comparison
  • Matches accounting standards
  • BAS preparation easier

Superannuation

Current Rate: 12% (2024-25 onwards)

For Sole Traders:

  • Not legally required to pay yourself
  • But important to track for retirement
  • Add as Overhead item
  • Calculated as % of your income
  • Plan for future security

Tracking Method:

  1. Create Overhead: "Superannuation"
  2. Amount: 12% of your annual income
  3. Period: Annually (or calculate from revenue)
  4. System allocates across all jobs

Workers Compensation

For Sole Traders:

  • May be optional depending on state/industry
  • Some trades require it
  • Track if applicable
  • Add as Overhead item
  • Industry-specific rates

ATO Travel Rates

Current: $1.00/km (configurable)

Business Use:

  • Travel to/from job sites
  • Customer visits
  • Work-related travel
  • Tax-deductible

Tracking:

  • Enter km for each job
  • System multiplies by rate
  • Added to job cost
  • Accurate profitability
