Welcome to Pro Solo! This guide will walk you through configuring your business settings so you can start tracking your profitability.


What This Feature Does

Business settings ensure the system is tailored to your business, reflecting accurate calculations for revenue, costs, and profitability.


Why It Matters

Having the correct settings lets you:

  • Accurately calculate your Effective Hourly Rate (EHR)
  • Simplify pricing decisions for better profitability
  • Align the app’s features with your goals and work habits


How to Use It

Navigate to Business Settings

  1. Click Settings in the left sidebar.
  2. Select the Business Settings tab. In Pro Solo, only two tabs are visible: Account and Business Settings.


Configure Effective Hourly Rate (EHR)

Pro Solo automatically calculates your EHR based on all costs (including materials and travel).


Formula:

Net Profit ÷ Total Hours = EHR

Example:
Job Revenue = $500
Materials = $50
Travel = $20
Overhead = $80
Net Profit = $350
Time Spent = 8 hours
EHR = $350 ÷ 8 = $43.75/hour


Configure Travel Defaults

  • Default KM Rate: Set your vehicle cost per kilometre (e.g., $1.00/km is the Pro Solo default, but ATO standard is $0.85/km).
  • Default Travel Minutes: Enter average travel time for jobs (default = 0).


Configure Business Calendar

  • Weeks per Year: Change from the default 52 weeks to reflect holidays (e.g., 48 weeks for 4 weeks of annual leave).


Set Profitability Ranges

  1. Define your target Effective Hourly Rate ($) thresholds:
  • Minimum Good EHR ($/hr): Example = $100/hr (high-value jobs).
  • Minimum Acceptable EHR ($/hr): Example = $60/hr (baseline profitability).
  1. Colour-coding:
  • 🟢 High Value (> Good Rate)
  • 🔵 Good Value (> Acceptable Rate)
  • 🟠 Low Value (< Acceptable Rate)
  • 🔴 Loss (< $0/hr)


Configure Custom Terminology (Optional)

  • Rename “Jobs” to something industry-specific (e.g., “Sessions”).


Configure Job Types (Optional)

  1. Add categories for your services (e.g., Personal Training, Group Coaching, Online Classes).
  2. Use these for structured reports.


Click "Save Changes"

Once settings are configured, click Save Changes to finalise.

  • Adjust your EHR thresholds based on your desired annual income.
  • Consider real-world vehicle costs when setting travel rates.

A Personal Trainer's EHR Setup:

Desired income: $70,000/year

Weekly work: 48 weeks

Hours/week: 38

Target EHR: $39/hr

Set profitability ranges:

  • Good Threshold: $60/hr
  • High Threshold: $100/hr
