How to Use the Hidden Hours Wizard

The Hidden Hours Wizard makes it easy to account for all your non-billable work. Follow these steps to get started.

Step 1: Open the Wizard

In the sidebar menu, click Hidden Hours Wizard.
If it’s your first time using this feature, a welcome screen will appear explaining its purpose.
Click the Start Wizard button to begin.

Step 2: Fill in the 8 Hidden Hours Categories

The wizard will guide you through 8 categories of non-billable hours:

Admin & Operations – Hours spent on emails, invoicing, scheduling, etc.
Marketing & Sales – Time spent finding new clients or promoting your business.
Programming / Job Preparation – Hours spent prepping sessions or researching plans.
Travel & Transition Time – Time spent driving between job locations or setting up.
Client Messaging & Care – Time spent following up with clients or answering questions.
Cancellations – Hours lost to no-shows or last-minute cancellations.
Business Development & Planning – Time spent improving your business or learning new skills.
Health Buffer – Extra hours lost to sick days, jobs overrunning, or emergencies.

For each category:

See a description of what to include.
Enter your estimate for the hours you spend on these tasks each week. (Decimal numbers, like 2.5, are accepted.)
Click Next to move to the next category.

Which jobs need a pricing increase

Whether travel is costing too much

How to Use It

Navigate to Jobs

Click Jobs in the left sidebar.
Click Add Job.

Fill in Job Details

Basic Information

Job Name: Example = "Weekly PT Session - John Smith."
Job Type: Example = "Personal Training."
Frequency: Example = "Weekly."
Hours per Visit: Example = "3 hours."
Price per Visit: Example = $150 (GST-inclusive).

Optional Details

Travel Time: One-way (auto-doubles for return).
Travel Distance: One-way (e.g., 12 km).
Notes: Example = "Focus on HIIT and flexibility."

Review Profitability Preview

On the right:

Annual Revenue (GST-exclusive).
Net Profit.
Effective Hourly Rate (EHR).

Save Job

Click Save Job to log it.

Encountering problems with the Hidden Hours Wizard? Here are some common issues and how to fix them.

My EHR Seems Too Low!

This is one of the most common concerns, but it often just reflects a more accurate picture of how much you’re really working.

Possible causes:

Hidden hours are correctly showing that you work more hours than you initially thought.
Some categories (like admin or marketing) may have been overestimated.
Your prices need to be adjusted to reflect the true cost of running your business.

| Tip: Review each category to ensure your hours are accurate. Underestimating or overestimating will impact your EHR. |

Hidden Hours Aren’t Showing for Old Jobs

Explanation:

By design, hidden hours only apply to jobs starting on or after the Effective Date you selected during setup.

Solution:

Double-check your Effective Date in the Hidden Hours Wizard.
Old jobs won't be affected to prevent retroactive changes.
To track old jobs, manually adjust their numbers (EHR will remain accurate going forward).

I Disabled Hidden Hours, But They Still Show

Ensure you clicked Save & Continue after turning off hidden hours.
Try refreshing your dashboard or clearing your browser’s cache.
Note: Disabling hidden hours only stops them from being included in EHR calculations. They’ll still appear in the profitability breakdown for transparency.
